We’re looking for an Executive Assistant and Corporate Coordinator to join the MCAN’s Residential Lending family.
Job Summary:
The Executive Assistant and Corporate Coordinator will work under the direction of the Senior Vice President and Chief Operating Officer and is responsible for providing administrative assistance, including preparing documents and presentation materials, screening and responding to incoming inquiries, working with marketing to coordinate events and calendars, arranging meetings, to ensure effective, efficient and accurate financial and administrative operations.
What you will be responsible for:
- Supporting SVP & COO and other Executives with management of calendar, preparation of Board Materials, co-ordination of meetings, distribution of meeting materials, and other related administrative tasks.
- Provide back up support regarding the distribution of Residential Lending, Corporate initiatives and Marketing reporting and coordination of related meetings.
- Assist in
- Supporting activities, programs, planning and delivery of organizational structure, leadership systems and programs, culture initiatives.
- Liase with print and design partners for corporate stationery, quarterly report printing, corporate promotional materials. This also including requests from business unit.
- Assist management team in coordination of materials and scheduling related to regulatory audits (e.g., OSFI);
- Completion of expense reports for the SVP & COO
- Provide backup support to the other Executive Assistants;
- Complete special projects as assigned
The work experience, skills, education that you bring to the role:
Education :
- University Degree or College Diploma in a relevant field is preferred, or equivalent combination of education and experience
Experience :
- 2-3 years of administrative experience supporting Executives, Boards and committees, preferably in the financial sector environment.
- Executive Assistant Certificate, an asset.
Skills :
- Proficiency with Microsoft 365, including MS Outlook, Word, Excel, PowerPoint, Teams, Forms and SharePoint.
- Experience in minute taking and meeting coordination.
- Ability to multi-task in a fast-paced environment under strict timelines while producing quality work.
- Strong interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to keep confidential information secure.
- Must enjoy working in a changing and demanding environment.
- Detail oriented and great attention to detail.
- Self-starter and fast learner.
- Excellent organizational and time-management skills.
- Exceptional oral and written communication skills.
