Full Job Description
Oversee accuracy of room blocks and rooming-list reservations. Accurately complete the set for all group reservations and concert bookings as per sales agreements. Communicate with Command Center when individual call-in reservation blocks have been set up and are ready for bookings. Enter all group and concert reservation rooming-lists, changes, and cancellations received by email from Event and Marketing Managers. Set-up routing and special requests as appropriate and associated arrival comments for rooming-list reservations. Respond to any challenges found for accommodating rooming requests. Provide completed rooming-list to Event and Marketing Managers and of remaining rooms in each block upon every rooming list entry completion, and update. Distribute daily group cut-off report and work proactively work with management to release remaining rooms in a timely manner. Input and access data in reservation system.
Troubleshoot system interfaces and balance group reservation blocks in appropriate hotel systems as needed.
- Accurately manage, input, and update all group blocks and group reservations.
- Answer internal emails and follow Reservations standards.
- Build group rates in reservation systems and ensure proper flow.
- Basic entry for concerts in Delphi Hotel and Catering System
- Advanced usage of HMS Property Management System
- Advance usage of TravelClick Reservation System
- Run daily, weekly, and monthly reports (group cut-off, pickup numbers, hotel statistics, forecasts etc.)
- Attendance Recording & Filing for Reservations Team as needed.
- All other duties as assigned
- To look out for the safety of yourself, co-workers and to follow all Health and Safety requirements in the workplace.
- Follow and serve according to Reservations standards for all services provided.
- High School diploma or equivalent. A college degree preferred
- Must have prior hotel front desk or reservations experience
- One to two years of applicable on-the-job experience
- Proficient in Microsoft Applications: word, excel, power point and outlook
- Ability to verbally communicate effectively with guests and co-workers.
- Be able to clearly express oneself verbally in the English Language using good grammar, vocabulary, eye contact and a friendly voice inflection.
- Proven knowledge of proper serving etiquette.
The ability to work a flexible schedule, which may include days, nights and weekends, based on business levels.
