As the Head of Real Estate Operations, you will lead a dynamic team of professionals, including Real Estate Analysts and a Real Estate Portfolio Manager. You will be pivotal in steering the strategic direction and execution of our real estate initiatives, ensuring accountability, and upholding the highest standards in managing our real estate portfolio. This executive role involves contributing to the overall strategic direction and decision-making processes within the Executive Leadership Team.
What You’ll DoTeam LeadershipLead and manage the Real Estate team, ensuring motivation, engagement, and accountability.Ensure the department meets all targets, milestones, and performance metrics.Issuance Calendar ManagementPlan and manage the launch schedule for all properties, coordinating with the acquisitions team and aligning with company forecasts.Ensure timely property launches and closings, with all compliance checks completed.Data ManagementOversee the finalization of all property data, including returns, ROI, and profiles, ensuring accuracy and completeness.Confidential Data OversightEnsure preparation and approval of confidential data materials (LPAs, Proforma, Environmental, Appraisals, etc.) for sharing with stakeholders.Ledger ManagementCollaborate with business stakeholders to ensure accurate and timely completion of all ledgers.Account ManagementTransition acquisitions to account management SOP, maintaining relationships and ensuring smooth operations with Issuers and Dealers.Issuance MonitoringMonitor progress of all property issuances, providing monthly updates per property to stakeholders.Onboarding and Software IntegrationOversee onboarding of dealers and issuers, ensuring seamless integration and optimal software usage.Documentation ComplianceEnsure all real estate documentation complies with internal and external requirements.Decision SupportProvide critical data to support decision-making for internal use and external sharing with members and sponsors.Market ResearchConduct and share research on market trends, competitors, and opportunities with the team and stakeholders.Due Diligence OversightOversee the property due diligence process, ensuring financial models and analyst tasks are completed on time.Ensure all real estate deals are sound, underwritten, and accurately presented to members and internal stakeholders.RequirementsWhat You’ll Need Leadership Experience: Proven experience in leading and managing high-performing teams in real estate or related fields. Data Management Skills: Strong proficiency in overseeing data finalization, ensuring accuracy in returns, ROI, and property profiles. Confidentiality Expertise: Experience managing confidential dataroom materials and ensuring compliance with confidentiality standards. Financial Acumen: Strong financial acumen, with experience in ledger completion, financial modeling, and decision support. Relationship Management: Ability to manage Issuer and Dealer accounts effectively, ensuring a smooth transition and maintaining strong relationships. Process Optimization: Experience in optimizing processes, including onboarding and software usage, to enhance efficiency. Documentation Compliance: Familiarity with ensuring compliance in all business documentation, both internally and externally. Communication Skills: Excellent communication skills to convey updates, progress, and critical information to stakeholders. A well-established boutique law firm in downtown Hamilton is seeking an experienced Senior Commercial Real Estate Law Clerk to join their growing team. In this role, you’ll work closely with the Partner and Head of the Real Estate Department, supporting them on high-value, complex commercial real estate transactions from start to finish.This is an excellent opportunity for a detail-oriented, independent professional who thrives in a fast-paced environment. You’ll gain hands-on exposure to sophisticated deals, including acquisitions, dispositions, leasing, financing, private mortgages, security registrations, discharges, and transfers of charges. Key Responsibilities
- Draft and prepare commercial real estate documents, including purchase and sale agreements, leases, financing packages, and security instruments.
- Manage and maintain detailed real estate files, closing checklists, correspondence, and supporting documentation.
- Conduct and review title searches, surveys, and perform thorough due diligence.
- Coordinate closings and liaise with clients, lenders, lawyers, and other stakeholders to ensure smooth transactions.
- Handle document registrations with the Land Registry Office.
- Perform legal research and assist with resolving complex transactional issues.
- Maintain professional communication with clients and team members, ensuring expectations are managed effectively.
- Manage billing and client accounts in accordance with firm procedures.
Qualifications
- 8+ years of experience as a Commercial Real Estate Law Clerk, ideally with exposure to complex transactions.
- Strong organizational skills and the ability to manage multiple files simultaneously.
- Exceptional attention to detail and a proactive, independent work style.
- Excellent written and verbal communication skills with a polished, professional demeanor.
- Proficiency with PC Law, Primafact, and the Microsoft Office Suite.
- A collaborative mindset, high degree of discretion, and trustworthiness.
