Our client, an established and reputable real estate investor and manager, are looking to find a Property Administrator to cover a maternity leave contract for in Delta, BC. The successful candidate will work on a portfolio of strictly retail (open air and enclosed shopping centres) across the Lower Mainland. This is a full-time, 100% in office position.
Property Administrator Duties & Responsibilities but not limited to:
- Provide administrative and accounting support for the portfolio and property management team
- Accountable for rent rolls, cheque posting and application of accounts
- Assist with tenant communications on a variety of matters
- Assist with preparing and distributing documentation
- Process invoices and PO's, maintaining tracker logs
- Assist with basic AP/AR
- Assist with preparation of annual and monthly budget management and reviewing monthly recurring billings
- Assist with lease agreements and reports, new and renewals
- Ensure compliance across all documentation in a timely manner
- Maintain and update internal database
- Assist with effective and efficient operations across departments
- Promote and provide excellent customer service and aid in a strong and positive office culture
- Minimum 3 years of property administration or financial experience, ideally with exposure to retail assets
- Strong financial acumen with general accounting knowledge and the ability to analyze and interpret documentation
- Strong written and verbal communication skills with a focus on providing excellent customer service
- Strong organizational skills and attention to detail
- Able to handle a variety of tasks, prioritizing effectively to meet deadlines and urgency
- Strong technical skills in MS Office including Excel, experience with Yardi is an asset
- Post-Secondary education in business administration, real estate or related is preferred but not required
- Positive and collaborative mindset is required
- A criminal verification check is required for employment
The successful candidate will receive compensation c. $55,000-$60,000, vacation time paid biweekly, and eligibility to participate in a group benefits plan.

- Ensure compliance with corporate policies, procedures, and relevant legislation
- Provide leadership and guidance to operations teams to meet monthly and quarterly performance targets
- 4-6 years of Commercial Property Management experience
- A RECA license is required
- Proficiency in leasing documentation, budgeting/financial processes, and managing office and/or retail properties
- Strong knowledge of building systems, maintenance practices, and commercial leasing principles
- Exceptional communication, conflict resolution and project management skills
- Previous experience with Yardi is considered an asset

RESPONSIBILITES
Working onsite primarily at our Meadowbrook Business Campus, the Assistant Property Manager will assist the Commercial Property Manager with tenant relations, property services, commercial finance, as well as document and file management.
- Assist with coordinating and ensuring timely completion of monthly and annual inspections as well as documentation
- Assist with coordinating tenant move-ins and move-outs
- Assist with the preparation of service contracts and ensure follow up of signatures
- Participate and review the monthly rent roll for accuracy ensure all steps and changes are accounted for.
- Assist with rent collections including tracking and scanning payments and payment information
- Manage tenant chargeback and assist with annual CAM & Tax Budget and Reconciliation notifications, review of statements, and tenant communications.
- Maintain rental delinquency reports
- Assist with document and file management ensuring they are in Yardi and up to date
REQUIREMENTS
- Minimum 2 years of experience in commercial property management
- Computer and smartphone proficiency including Microsoft Office Suite. Yardi an asset.
- Excellent time management and high attention to detail
- Strong understanding of commercial lease terms
- Excellent interpersonal and problem-solving skills
- Exceptional written and verbal communication skills
- Criminal background check required (paid by BlueStone)
- Must have a valid G drivers license and automotive insurance with minimum liability of $1,000,000.

Your new role
In this new role as a Commercial Real Estate Law Clerk, you will be responsible for a wide variety of legal and administrative duties within the real estate sphere, working with a team of Clerks supporting a Lawyer. You will manage and complete commercial purchase and mortgage files from start to finish. In this role you will Handle all forms of real estate files, including purchases, sales, mortgages, and refinancing. Drafting and coordinating necessary documents required for closing.
Organize/collect material for commercial real estate deals and summarize this information, as needed.
What you will need to succeed
To be considered for this position, you must have minimum of 2-years relevant real estate experience at a law firm. Knowledge of acquisitions, dispositions, financings, project development, and condo and development work are an asset. Real estate statutes and practices, legal concepts and procedures, transactional experience and broad, but thorough knowledge of basic legal principles are essential for this role.
