Overview and Purpose of the Role
Reporting to the Manager, Medical Affairs, the Medical Affairs Specialist supports the administrative functions of the department, including assisting with physician credentialing, organizing and maintaining medical staff contracts, coordinating schedules, and supporting continuing medical education (CME) initiatives. The Specialist also facilitates effective communication between clinical teams and hospital administration. Working in close collaboration with the Manager of Medical Affairs and the Chief Medical Officer, the Specialist will help drive physician engagement and support the successful launch and ongoing operations of clinical programs.
Key Duties & Responsibilities:
Provide high-level administrative support to the Chief Medical Officer (CMO) and Manager, Medical Affairs, including calendar management, correspondence, and physician meeting coordination
Track physician credentialing and onboarding using the CMaRS (Credentialing Management and Review System) platform, ensuring timely and accurate processing
Maintain organized and up-to-date records related to medical staff contracts, credentialing, and CME activities
Plan and coordinate Medical Affairs events, such as educational sessions, orientations, and committee meetings
Monitor the Medical Affairs inbox and ensure timely response and follow-up on inquiries
Support community physician outreach and maintain relationships with external partners, including hospitals and universities
Ensure confidentiality and compliance with SAC policies and relevant healthcare regulations
Corporate Responsibilities:
- Participate in all mandatory training requirements and work in compliance with the Occupational Health and Safety Act and Regulations, company Policies and Procedures, as well as established industry guidelines
Skills & Qualifications:
Post-secondary education in Health Administration, Business Administration, or a related field preferred; certification or registration in a relevant area is a strong asset
Minimum of 1–3 years of related experience in a healthcare or medical administrative support role, ideally within a Medical Affairs or physician services environment
Excellent verbal and written communication skills, with the ability to tailor messaging to different audiences and produce clear, concise, and well-structured documents
Strong organizational and time-management skills, with the ability to prioritize tasks, manage competing deadlines, and maintain an organized workflow with minimal supervision
Superior interpersonal skills with a demonstrated ability to work collaboratively within a team environment
Sound decision-making abilities within established guidelines and procedures
High level of discretion and sensitivity when handling confidential or sensitive information, with a strong commitment to maintaining confidentiality at all times
Basic analytical and problem-solving skills, with the ability to identify and resolve routine issues and seek guidance when needed
Computer proficient in MS Office (Word, Excel, Outlook); experience with Meditech is an asset
Satisfactory passing of a criminal record check/vulnerable sector check
- Provide proof of Immunization and TB records

Reporting to the Senior Manager, Operations Excellence, we are looking for a Medical Billing Specialist to join our Client Success team at DoctorCare. You will deliver outstanding service to physicians by supporting their medical billing management including submission and reconciliation of billing claims, resolving billing rejections received back from the ministry, and identifying opportunities to maximize revenue.
