Position Summary:

The Finance and Administrative Assistant supports the finance and operations team with day-to-day administrative tasks, record keeping, data entry, and general office support. This is an ideal role for someone beginning their nonprofit or finance career, looking to grow their skills in a mission-driven organization.

Key Responsibilities:

  • Administrative Support:
  • Maintain up-to-date digital filing systems for financial documentation in SharePoint.
  • Organize and archive receipts, invoices, and financial correspondence.
  • Create automated reports for approval from Senior Bookkeeper and CEO (Board, P&L, Payroll, Cashflow projection, Monthly Housing Report for Bingo)
  • Finance Assistance:
  • Provide reconciled data to Senior Bookkeeper for input into QuickBooks Online in collaboration with Director of Operations
  • Support credit card reconciliation processes and verify supporting documentation.
  • Input payments into QuickBooks Online.
  • Other Duties:
  • Provide support during audit preparation.
  • Other duties as asigned

Qualifications:

  • 12 years of administrative or finance support experience (nonprofit setting preferred).
  • Strong familiarity with QuickBooks Online or willingness to learn.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple administrative tasks and meet deadlines.
  • Proficient in Microsoft Office

**JOB DESCRIPTION**
As the Business Management Specialist, you will be primarily responsible for driving continuous improvement initiatives and optimizing processes within the FP National Office. This role requires a strategic thinker with a hands-on approach to identifying and implementing effective solutions that enhance operational efficiencies, strengthen regulatory compliance, and achieve organizational goals.
The general accountabilities of this role include, but are not limited to, the following:
+ Critically analyze, design, document, and improve business processes to enable effective service delivery across the FP Business.
+ Identify and recommend opportunities to enhance productivity, effectiveness and operational efficiency.
+ Work cross-functionally to ensure end-to-end process alignment, support compliance, enable digital transformation, and drive continuous improvement.
+ Support process governance by defining ownership, approval workflows, and change control mechanisms.
+ Lead partner to management / leadership and respective teams for area of specialization with industry, external and internal, enterprise and business awareness; recognizing and anticipating emerging trends and; identifying issues and opportunities and recommending action to senior management.
+ Keep abreast of emerging issues, trends, and evolving regulatory requirements and assess potential impacts to the Bank.
+ Assess / identify key issues and escalate to appropriate levels and relevant stakeholders where required.
+ Maintain a culture of risk management and control, supported by effective processes and sound infrastructure an in alignment with risk appetite.
+ Develop and implement strategies to enhance operational excellence within the organization.
+ Monitor and report on key performance indicators to track progress and impact.
**EXPERIENCE AND/OR EDUCATION:**
+ Bachelor's degree in Business Administration, Operations Management, or a related field.
+ Proven experience in operational excellence, process improvement, or a related role.
+ Strong analytical and problem-solving skills.
+ Excellent communication and leadership abilities.
+ Experience with Lean, Six Sigma, or other process improvement methodologies.
+ Ability to work collaboratively with cross-functional teams.
**REQUIRED SKILLS:**
+ Possess a strong background in process mapping, stakeholder facilitation, and translating operational pain points into actionable solutions.
+ Relationship builder with a proven ability to partner, build confidence and influence multiple stakeholders at all levels across the organization
+ Project and problem-solving skills with an ability to provide clear and concise direction in a positive and effective manner
+ Self-starter, with the ability to deal with ambiguity and develop teams, processes and governance from the ground up
+ Knowledge of Wealth Advice businesses, securities industry regulations, procedures and legal framework is considered an asset, however not required

**Job Profile Summary**
STR Quality Control reviews the work from multiple teams across the FIU to ensure consistency and high standards in FINTRAC reporting. By combining work previously done by 2nd Level reviewers and Regulatory Reporting, the Senior QC Analyst is responsible for validating that Reasonable Ground to Suspect (RGS) ML and/or TF has been established and that all procedural and regulatory requirements are followed. The Senior Analyst will also ensure that the narrative portion of the filing is clear and concise so that a third-party reviewer can come to the same conclusion based on the facts presented. Any case that falls below this quality threshold will be returned to the investigative team for re-work. As this is a new role within the FIU, the successful applicant will be expected to help develop the STR QC program in providing metric and feedback for FIU senior management and the executive. The Senior QC Analyst will report to the Group Manager, STR Quality Control.
**Job Accountabilities:**
+ Validate RGS and ensure that STRs are filed as soon as practicable.
+ Incorporate procedures, job aids, and regulatory findings into a holistic case review.
+ Review case file and transactional data to ensure that all reportable transactions are submitted.
