The Role of the Flight Operations Coordinator
As a Flight Operations Coordinator at Flygreen, you’ll play a critical role in ensuring the seamless execution of private flights for our clients. Acting as a central hub between our sales team, operator and service partners, you’ll oversee the operational details that make each journey seamless, efficient and memorable.
In this role, you’ll manage scheduling, coordinate with aircraft operators, monitor flight logistics, and anticipate client needs throughout the travel process. You’ll develop a strong understanding of private aviation operations, refine your organizational and problem-solving skills, and become a trusted point of contact in a fast-paced, dynamic environment.
Your Day-to-Day
- Arrange and confirm flight itineraries by aligning client preferences with aircraft availability, crew scheduling, and operational requirements.
- Coordinate all pre-flight arrangements, including detailed itinerary planning, ground transportation, catering, slot and permit requests, and communication with operators and crew to ensure every aspect of the journey is prepared prior to departure.
- Track flight progress, weather conditions, and airport activity, making real-time adjustments to ensure seamless and safe operations.
- Serve as a reliable point of contact for clients, flight crews, and operators, providing timely updates and addressing operational inquiries.
- Maintain accurate flight logs, records, and reports; oversee invoicing, expense tracking, and reconciliation of flight-related accounts.
- Anticipate and respond to client needs with professionalism, coordinating ground transportation, catering, and other trip details.
- Ensure all flight operations meet aviation regulations, safety standards, and company policies.
- Assist your team lead and management team on initiatives to enhance efficiency, safety, and service delivery within the operations department.

- Ability to Work Under Pressure – remain calm and solution-oriented under pressure, with strong problem-solving skills.
- Exceptional customer service mindset, with professionalism in all client and partner interactions.
- Strong written and verbal communication skills (English required; French highly valued; other languages an asset).
- Confidence in handling time-sensitive logistics and operational decision-making.
- High level of adaptability and willingness to learn in a fast-paced environment.
- Strong teamwork and collaboration skills, with the ability to coordinate across multiple stakeholders.
- Proficiency with scheduling systems, CRM tools, and office software (Google Workspace / Microsoft Office).

Reports to the Supervisor of Operational Control
The Flight Coordinator Type B(Dispatch) will be responsible for:
the technical aspects of flight planning and flight watch for our 705 aircraft as per Transport Canada standards.
Handle all facets of the day-to-day flight operations
Handle logistics planning
Maintain the daily flight schedule
Book flights
Organizing and assisting with ground support for departing and arriving aircraft
Keep relevant personnel informed with trip information
Attending the phones/radio
Coordinate with customers and other departments to ensure all flights depart and arrive safely.
Other duties as required
REQUIREMENTS:
21 years old, minimum with a high school diploma or equivalent;
Successfully completed Transport Canada Dispatch exams (FDMET,FDOPS);
Able to work shift work, including nights;
Be a proven team player who demonstrates leadership abilities and a positive and energetic attitude when interacting with customers or coworkers;
Able to work effectively both individually and as a member of a team, sometimes under difficult and stressful circumstances;
Excellent organizational and time-management skills;
Ability to make critical decisions with limited information;

In collaboration with the team members, you will ensure the successful conduct and monitoring of air operations. You will also be responsible, among other things, to ensure the monitoring of flights, preparation of flight plans and of required work documents. You will always ensure constant monitoring of weather
conditions and ensure communication with the crews and air traffic control services. You will accomplish tasks in compliance with the established policies and procedures and put safety at the core of your actions and decisions.

• Vocational diploma (DEP) in flight dispatching is an asset.
