We provide wholistic primary health care through a range of options including prevention, assessment, diagnosis, and treatment. Our teams include health professionals, educators and support workers representing both traditional Indigenous and contemporary models of care and use wholistic health and community development concepts.

To be a courteous and efficient first point of contact for clients and the public and provide effective administrative support functions for the CSL and related health professionals.

NOTE: Indigenous traditional practices involve burning sacred medicines including tobacco, sweetgrass, sage and cedar within the work setting.

QUALIFICATIONS:

  • medical secretary diploma, office administration diploma, or equivalent combination of post-secondary education and experience;
  • advanced computer skills and experience operating in a network environment with a full range of Microsoft Office applications; experience with Electronic Health Records is an asset;
  • demonstrated oral and written communication skills; excellent problem solving and interpersonal skills to deal effectively with a wide variety of people; strong customer service orientation;
  • personal experience and understanding of traditional Indigenous culture and healing practices; ability to work in a collaborative, de-colonial, trauma-informed, and client-centered approach and to support WNHAC values in meaningful ways;

Manitoba Keewatinowi Okimakanak Inc. (MKO) is currently seeking a highly organized, highly motivated, and detail-oriented individual to provide support to our Indigenous Health Equity Fund (IHEF) team as an Administrative Assistant. Working under the guidance of our IHEF Administrator and IHEF Funding Officer, the successful candidate will provide administrative support for IHEF staff. Strong communication skills, proficiency in office software and ability to multitask in a fast-paced environment are essential for success in this role.

Role and Responsibilities

Administrative Support:

  • Provide day-to-day support including scheduling meetings, maintaining records, and managing correspondence.
  • Track, monitor and follow up of expenses related to the operation of the IHEF Program.
  • Assist IHEF staff in processing payment requisitions and purchase order requests.
  • Maintain office supplies and promotional items for the IHEF Program.
  • Coordinate travel logistics for IHEF staff.
  • Answer electronic inquiries and relay calls and messages, using digital communication tools to facilitate timely and effective communication.

Documentation & Reporting:

  • Assist in the preparation of reports, meeting minutes, and other documentation required for program oversight.
  • Compile and prepare materials for conferences, assemblies, meetings, and training events.
  • Provide support to the IHEF Program in maintaining the electronic filing system.
  • Provide administrative support in meetings as necessary.

Logistical Coordination:

  • Coordinate logistics for events, workshops, and stakeholder meetings.
  • Provide administrative support at meetings, conferences, assemblies, and other events.

Team Support:

  • Provide technical and administrative support to the IHEF staff.
  • Serve as a central point of contact for the IHEF team, managing internal communication and information flow.
  • Must maintain strict adherence to MKO policies regarding the management of confidential and sensitive information.
  • MKO is political advocacy organization that works to represent the leadership and member First Nations. All staff at MKO may be given other duties as assigned that enable MKO to fulfill the mandate and responsibility to its member communities.

Education and Experience

  • Minimum 3 years of experience in an office/administrative environment.
  • Post-secondary education in business administration or equivalent.
  • Ability to set priorities, handle multiple tasks simultaneously and meet deadlines.
  • Demonstrates strong initiative with the ability to work independently while functioning as part of a team.
  • Proficient computer skills and the ability to use Microsoft Office, Excel, PowerPoint, Outlook, and other business-related computer software is required.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
  • Ability to adapt to a rapidly changing environment.
  • Valid Class 5 Full drivers license and access to a reliable vehicle.
  • Ability to travel and work flexible hours as required.
  • Ability to travel by air, road, boat, snowmobile, and other means as necessary.
  • Satisfactory Criminal Records Check, Child and Adult Abuse Registry Check, and vulnerable sector check.
