Key Responsibilities
- Review and verify customer orders in the ERP system; prioritize orders with urgent dates.
- Allocate items and process complete orders; track and manage orders on hold.
- Prepare pick tickets and commercial invoices for shipping.
- Request or remove credit holds; resolve credit issues with relevant teams.
- Plan and track shipments, for On time delivery using logistics IT systems.
- Support receiving and shipping functions to ensure timely and accurate operations.
- Coordinate with Customer Service on order delays and shelf-life concerns.
- Monitor MRP for stock availability and order fulfillment timelines.
- Ensure compliance with Dangerous Goods Declaration (DGD) and IATA regulations.
- Prepare reports for management and suggest process improvements.
- Follow all safety standards and PPE requirements.
Qualifications
- High school diploma or equivalent.
- Forklift operation and ability to lift over 20 lbs.
- Proficient in English with good communication skills.
- Basic math skills including decimals, fractions, percentages, and metric conversions.
- Experience with Microsoft Office and CRM software; QAD and HMM experience is a plus.
- Knowledge of credit management, shipping documentation, and customs procedures.
- Familiarity with DGD and IATA regulations.
- Strong organizational and analytical skills.
- Ability to multitask and work well with different teams.

1. Order Processing & Scheduling
- Receive, confirm, and post sales orders into QuickBooks and Asana the same day.
- Identify out-of-stock (OOS) items and communicate with the team.
- Maintain and update shipping schedules across QuickBooks, Google Sheets, and Asana.
- Communicate ship dates, shortages, and extension requests to clients.
- Route orders, schedule pickups, build truckloads, and reschedule missed pickups.
2. Documentation & Compliance
- Create shipping labels, bills of lading (BOLs), and customs documentation.
- Record lot codes and expirations in traceability systems.
- Review pick lists, mark sales orders as shipped, and upload documentation to Google Drive.
3. Transportation & Cost Management
- Ensure all LTL and small parcel shipments meet cost thresholds.
- Obtain freight quotes and select cost-effective transportation solutions.
- Prevent penalties by booking shipments on time and avoiding missed pickups.
- Consolidate shipments to reduce cost per unit and loading time.
4. Partner Collaboration
- Work with customs brokers and certification partners (e.g., Ecocert) as needed.
- Communicate effectively with clients, warehouses, and internal teams via Email, Slack, and Asana.
- Participate in weekly team and fulfillment meetings.
5. Operations & KPI Reporting
- Assist with ad hoc operational tasks (repairs, recycling, pest control, etc.).
- Build and maintain dashboards for clients.
- Monitor and report on fulfillment KPIs weekly.
