With more than 125 physicians across 21 sites within London, and Middlesex, Oxford and Elgin counties, the Thames Valley Family Health Team is committed to providing comprehensive inter-collaborative primary health care to over 162,000 patients.
Currently, we are seeking a skilled Patient Care Assistant to join our Integrated Primary Healthcare Team. This position will be a vital member of our team and will play a crucial role in providing comprehensive healthcare services alongside Nurse Practitioners (NPs), who serve as the most responsible provider(s), and the interdisciplinary healthcare team. The Medical Clinic Administrator responsibilities will include assisting with patient care, managing administrative tasks, and facilitating seamless communication within the team. The role will require some evening hours, with vacation aligned with the NP team schedule, and follow TVFHT Health and Safety policies and procedures. This Patient Care Assistant is a new role that will be working on-site with the multi-disciplinary healthcare team and TVFHT’s Operations Department to offer administrative and clinical patient support in a primary care setting.
Requirements, Skills, and Abilities:
Administrative experience in a healthcare setting
Post-Secondary school diploma from a medical assistant program; Certified Medical Assistant (CMA) or equivalent preferred.
Experience providing injections and/or Certificate of completion to administer injections; preferred
Excellent communication skills, both verbal and written
Excellent interpersonal skills and experience working in multi-disciplinary team.
Strong attention to detail and ability to prioritize work in a fast-paced environment.
Understanding of medical terminology, and clinical procedures.
Proficiency in using electronic medical records (EMR) systems and computer skills.
Experience working with Outlook, Teams and Microsoft applications (Excel, Work, Power Point).
An understanding of the Ministry of Health and Family Health Team philosophy.
Ability to work independently with minimal supervision
Ability to coordinate and communicate information and documentation for various meetings and events, as well as minute taking skills
Proficiency in data mining and compiling relevant information for inclusion reports
Excellent critical thinking skills with the ability to anticipate and respond to the administrative and clinical needs of leadership and the healthcare team.
Exercise reasonable care and caution in protecting confidential and sensitive information related to patients and personnel with understanding of PHIPA
Availability to take on responsibility of opening and/or closing the clinic, with some evening hours required.
Ability to monitor, track and follow-up with patients on referrals initiated by NP(s).
Must have reliable transportation to allow you to travel to other locations to complete your work if needed
Salary Range: $47,046 - $57,374

We’re hiring Virtual Medical Administrative Support staff to provide front-line, patient-facing administrative coverage during clinic hours. You’ll ensure that families connect quickly and smoothly with our Nurse Practitioners by handling intake, scheduling, reminders, documentation, and follow-up tasks in the EMR. The Opportunity:
The Medical Assistant role is perfect for recent post-secondary graduates, students in their final year who can commit to 3-5 full-day shifts per week, or those taking a gap year to gain valuable work experience. Medical Assistants are fully trained on and responsible for the following:

What We're Looking For:
- Must reside in Ontario (This is an onsite position, not remote).
- Must be permanently eligible to work in Canada (i.e., Permanent Resident or Canadian Citizen) or possess a Work Permit valid for at least 12 months from today (no sponsorships available).
- New graduates or final semester of post-secondary school.
- This is an active role requiring you to be on your feet all day, moving around the clinic to perform various tasks - being quick on your feet is essential.
- 1-2 years of post-secondary education in a related field, or equivalent work experience.
- An undergraduate or bachelor’s degree in health science, Kinesiology, General Science, or Arts is considered an asset.
- Six months to one year of experience in a customer service environment (e.g., retail or hospitality).

The Opportunity:
The Medical Assistant role is perfect for recent post-secondary graduates, students in their final year who can commit to 3-5 full-day shifts per week, or those taking a gap year to gain valuable work experience. While no prior medical experience is required, we are looking for individuals with a strong background in customer service - whether in retail, fast food, or other fast-paced environments - who are eager to explore a healthcare career.
Compensation:
- Base rate of $17.60 per hour, with opportunities for additional earnings and career growth.

What You'll Do:
Medical Assistants are fully trained on and responsible for the following:
- Proper registration of patients administratively (e.g., reception, scheduling, collecting payments).
- Proper preparation of patients clinically (e.g., hosting patients in the exam room and performing triage).
- Appropriate application of scripts, scenarios, and clinical skills.
- Appropriate use of our Electronic Medical Record system (EMR Advantage).
- Ensure consistent inventory levels through the daily stocking of exam rooms and other areas of the clinic.
- Maintain a clean and quiet environment by cleaning/sanitizing exam rooms, foyers, and bathrooms.
- Proper opening and/or closing procedures of the clinic.
- Record and document management, along with other administrative duties as assigned.
- Opportunity to train in one or more specialty programs (e.g., Travel Medicine, Allergy Testing, Foot Care, and Well-Baby), following the successful completion of a 3-month probationary review.
- Other duties as required.
What We're Looking For:
- Must reside in Ontario (This is an onsite position, not remote).
- Must be permanently eligible to work in Canada (i.e., Permanent Resident or Canadian Citizen) or possess a Work Permit valid for at least 12 months from today (no sponsorships available).
- New graduates or final semester of post secondary school.
- This is an active role requiring you to be on your feet all day, moving around the clinic to perform various tasks—being quick on your feet is essential.
- 1-2 years of post-secondary education in a related field, or equivalent work experience.
- An undergraduate or bachelor’s degree in health science, Kinesiology, General Science, or Arts is considered an asset.
- Six months to one year of experience in a customer service environment (e.g., retail or hospitality).
- Excellent communication skills in English (spoken, written, reading, and comprehension); proficiency in other languages is an asset.
- Must be committed, reliable, and flexible to work days, evenings, and weekends.
- Willingness to work at multiple clinic/office locations within the region.
- Passionate about personal learning, training, and ongoing development.
