The Private Client Specialist is responsible for answering inquiries from potential clients professionally about all investor programs and services that the firm offers. They support the firm's client advisors by scheduling calls and meetings with potential clients and assisting with administrative tasks. The Private Client Specialist stays in regular contact with all potential clients with the aim of signing client agreements.
Responsibilities
- The role requires expertise across the entire residence and citizenship program portfolio offered by Henley & Partners, as well as, the ability to be able to support other ancillary requirements when needed.
- Provide client prospects with information on residency and citizenship planning to ensure their questions are addressed.
- Collect documents from prospects required for due diligence checks and onboarding.
- Serve as the primary client contact and advocate for day-to-day activities necessary for the on-boarding of the client.
- Prepare client service agreements.
- Deliver world-class, industry-leading customer service to new and existing clients.
- Keep detailed notes on prospect and client interactions with full and effective use of the CRM system.
- Mentor junior members of the team.
Essential skills
- Proficient in the English language. Additional languages will be considered an asset.
- 3+ years of experience in Account Management within investments, insurance, private banks or wealth management.
- Bachelor's degree in business, marketing, economics, or related discipline.
- Exceptional organizational skills.
- Superior written and verbal communication skills.
- Excellent negotiation and persuasion skills ensuring diplomacy at all times.
- Ability to work independently and within a team environment, with focus and excellent attention to detail.
- Proficient in Microsoft Word, Excel, PowerPoint, and CRM.
- Knowledge and experience in the immigration by investment industry will be considered an advantage.

The Supervisor will oversee the day-to-day operations of the Private Client Services team and will be responsible for leading, coaching, motivating and developing a team of Senior Service Coordinators toward achieving departmental service standards and organizational goals. The incumbent will build and maintain strong-relationships with key stakeholders, including Investment Counselors, advisors, external custodian contacts, and other business unit leaders. Will also liaise with other business units to ensure exceptional service is delivered in an efficient and effective manner.
WHAT YOU WILL DO
- Actively monitor and manage the activities of the service team to ensure service levels are met.
- Promote service excellence by consistently evaluating, processes, procedures and/or practices and identifying potential for improvement. Communicate findings/recommendations and assist in the implementation/coordination of needed changes.
- Keep current on industry updates, custodian announcements, product changes, and updates to policies and procedures. Effectively communicate updates and changes to both internal teams and external contacts.
- Monitor, coach, motivate, and provide career development to their team. Actively engage in succession planning through identifying and mentoring upcoming leaders.
- Actively manage employee performance by establishing employee goals and conducting periodic performance review and assessments. Take necessary disciplinary action when applicable.
- Foster a climate of mutual respect, open communication, approachability, as well as fair and consistent treatment of SSCs.
- Build a good rapport with staff, peers, and other department units.
- Handle escalated inquiries as well as customer complaints and identify most optimal corrective action. Ensure proactive escalation of issues requiring upper management attention.
- Review daily trade approvals for high dollar value transactions.
- Actively participate in regular meetings and maintain an open communication with other business units.
- Assist with long and short range staffing forecast and actively participate in employee recruitment.
- Other projects as needed.
WHAT YOU WILL NEED
Experience:
- Minimum of 2 years progressive experience in a Financial/Client Service role
- Leadership experience in a client service, administration, or operations role preferred
- Dealership experience is considered an asset
Education/Training:
- Post-secondary education
- Successful completion of the Canadian Securities Course or IFIC Sales Course
Knowledge, Skills & Abilities:
- Strong understanding of CI’s products, policies and procedures;

WHAT YOU WILL DO
- Act as the primary service contact for Investment Counsellors, HNW or UHNW Wealth Advisors, and end-clients
- Investigate account-related problems, make recommendations, and implement the best possible agreed-upon solution for the client in a timely manner
- Respond to account-specific inquiries and procedural questions about the Private Client program via email and phone and provide value added suggestions where possible
- Liaise and maintain strong relationships with internal departments (PC Administration, Investment Policy Group, PC trading desk, Managed Solutions), Investment Counsellors, CIPW Private Counsel Advisors, and Custodians (CI Investment Services, RBC Investor Services Trust, NBIN)
- Submit accurate and complete trade requests prior to 2:00pm and seek appropriate approvals and where applicable (depending on the ICs/region assigned)
- Keep current on industry updates, custodian announcements, corporate initiatives, product changes and updates to policies and procedures to assist with field support and inquiries.
- Assist with various reporting requests from the field (ie. client statements, trade confirms and tax packages)
- Assist in special projects and various campaigns where applicable.
- Completion of post-secondary education in Business or a related discipline
- CSE required, CFA nice-to-have
- Experience in the investment industry; Private Client or high net worth industry experience considered an asset
- Mutual fund and securities industry knowledge

We are currently seeking a Private Client Billing Analyst to join our Financial Operations - Private Client team. Part of the team led by the Director, Financial Operations – Private Client, the successful candidate is primarily responsible for providing administrative and analytical support for processes related to Private Client Billing Cycle, Corporate Reporting, Day-to-Day Operations, and other requests associated to the billing of our high-net-worth clientele under the Assante Private Client and CI Private Wealth platforms.
WHAT YOU WILL DO
Private Client Billing – Day-to-Day Operations
- Process and QC daily, monthly and quarterly reports, and assist Manager with data gathering and investigation of the special billing cases during the quarter
- Create and manage Private Client billing families, ensuring groups are linked according to established business and compliance parameters
- Ensure accurate and timely setup of the fee schedules, fee directions, credit notes, and fee deals
- Investigate, process and QC fee-related requests, including fees calculated for terminations, in collaboration with your team
- Support your team with quality control efforts and assist in special projects throughout the year, as assigned
- Provide prompt and courteous service to Financial Advisors, Investment Counsellors, Corporate Finance, Trust Accounting, Compliance, IT and other internal departments via phone and email on billing-related requests
Private Client Quarterly Billing Cycle
- Assist Private Client Financial Operations with the administration of our quarterly billing process
- Liaise with Private Client Administration, Service, custodians, IT, etc. to ensure a seamless production run
- Prepare Quarterly Billing Cycle reconciliation and email templates
Corporate Reporting, Process Enhancements and Others
- Assist Manager with quarterly/yearly/historical data gathering, analysis and documentation for Corporate Finance, Compliance, Internal and External Audit
WHAT YOU WILL BRING
- Post-secondary education in Business, Finance, or a quantitative-related discipline
- 2+ years of relevant experience within the Financial Services industry
- Strong analytical thinking, organizational, problem-solving, and time-management skills, combined with a high accuracy and attention to detail, committed to data accuracy and integrity
- Knowledge of billing processes and billing applications (Triple A, Pario) is a definite asset
- Proficiency in Microsoft Office, including Intermediate Excel skills
