We are seeking a Purchasing Agent to join our team, working collaboratively to enhance procurement processes across departments.
Under the direction of the Purchasing Manager, the Purchasing Agent is responsible for verifying goods and service orders, preparing and forwarding purchase orders, confirming receipt of goods and services, and authorizing payments. This role ensures departments have the materials and services they need for daily operations by researching cost-effective suppliers and staying current on market and pricing trends. The Purchasing Agent also plays a key role in supporting program teams and community services through timely and efficient procurement.
What You'll Do
- Assist with the development of cost-effective purchasing strategies. Review and evaluate current procurement activities and recommend improvements when and where required.
- Purchase the highest quality goods/materials/supplies at the lowest possible price and in the specified amounts.
- Prepare and implement effective negotiation tactics in the purchasing of goods and supplies. Negotiate or renegotiate, and administer contracts with suppliers, vendors, and other representatives.
- Prepare purchase orders, solicit bid proposals, and review requisitions for goods and services.
- Prepare purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department.
- Complete coding on purchase orders and invoicing as required.
- Submit goods and service orders as required.
- Research and evaluate suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capacities, and the suppliers reputation and history.
- Manage relationships with key suppliers/vendors to maintain quality of goods, timely delivery, and compliance to terms of contract.
- Coordinate with suppliers to resolve any performance/standards related issues.
- Develop contract terms and conditions and administer contract changes as required. Prepare contract agreements and other documentation as needed.
- Analyze price proposals, financial reports, and other data and information to determine reasonable prices.
- Monitor and follow applicable laws and regulations. Ensure compliance with purchasing/procurement/financial procedures and contract requirements.
- Verify purchase requisitions by comparing items to master list; clarifying unclear items; resolve shipment errors; and recommend alternatives as needed.
- Monitor shipments to ensure that goods come in on time, and in the event of problems, trace shipments, expedite orders and follow-up on undelivered goods.
- Confer with staff, users, and vendors to discuss defective or unacceptable goods or services and determine corrective action.
- Evaluate and monitor contract performance to ensure compliance with contractual obligations and to determine the need for changes.
- Manage, maintain, and review records of items purchased, costs, delivery times, product performance and inventories, updating records as required.
- Review catalogs, industry periodicals, directories, trade journals, and internet sites, and consult with other department personnel to locate necessary goods and services.
- Interview vendors and visit suppliers distribution centers to examine and learn about products, goods, services and prices.
- Arrange the payment of goods and services, duty and freight charges, as required.
- Write and review product specifications, maintaining a working technical knowledge of the goods or services to be purchased.
- Monitor changes affecting supply and demand, tracking market conditions, price trends, or future markets.
- Assist with the implementation of policies and procedures for bid proposals and the procurement of goods and services.
- Attend meetings, trade shows/events/fairs, exhibitions, conferences, conventions, and seminars as required.
- Prepare and submit detailed reports (annual report, revenues, buying expenditures, etc.) as required.

What You Bring
- High School Diploma or GED
- Certificate or Diploma in business administration, Commerce, Management, Accounting, Economics or other equivalent Post-Secondary Education is an asset.
- 3-5 years experience in a Purchasing Agent capacity or similar role
- Advanced budgeting, negotiation, bargaining and decision-making skills.
- Ability to develop strong relationships with stakeholders, vendors, and suppliers. Excellent customer service skills.
- Resourceful. Strong research and analytical skills and ability to problem solve.
- Excellent time management and organizational skills.
- Keen eye for detail and a commercial mindset.

* Minimize inbound freight costs.

Responsibilities:
On-Time Delivery
- Raise demand on factories and act as the primary contact to collect commit dates and ensure on-time delivery of products
- Address delays or issues proactively and work with internal and external stakeholders to minimize disruptions.
- Confirm shipping schedules with suppliers weekly using open PO reports; flag and resolve concerns.
- Follow urgent or high-priority orders closely with suppliers to expedite as needed.
Inventory and Logistics
- Propose improvements to minimize inventory levels
- Coordinate and confirm shipment bookings, tracking details, and documentation accuracy.
- Discover cost-effective shipping modes and schedules.
- Arrange local deliveries of samples and production when needed.
Liaison with Freight Forwarders and Customs Brokers
- Work with third-party brokers, freight forwarders, and logistics partners to ensure timely and compliant clearance of imported goods to US and Canada.
- Prepare, review, and submit required documents (e.g., commercial invoices, packing lists, HS codes, certificates of origin, fumigation certificates, etc.)
- Track shipments and ensure the accuracy of customs entry information.
- Resolve any customs holds, inspections, or discrepancies.
- Review and validate customs charges and brokerage fees.
- Identify opportunities for cost savings (e.g., tariff engineering, duty drawback programs).
- Support claims or refunds for overpaid tariffs, duties or GST.
System & Data Accuracy
- Maintain and accurately update PO records, job entries, and inventory receipts in ERP (Epicor).
- Verify and enter supplier invoices accurately.
- Support 3PL activities for finished goods inventory tracking.
Customer & Vendor Relationship Management
- Develop strong working relationships with customers, key factories and suppliers.
- Proactively communicate updates to vendors to maintain alignment.
Administrative Support
- Support cross-functional communication between Canada and Asia offices.
- Ensure all shipping-related documentation is accurate and timely.
- Coordinate and respond to supplier questions about orders and logistics.
Continuous Improvement
- Lead or participate in projects that improve supply chain efficiency and customer satisfaction.
- Track and report KPIs related to supplier performance and delivery.
- Suggest and implement continuous improvement initiatives in procurement and logistics.
About You
Our ideal candidatepossesses the following qualifications:
- 2-4 years of experience working in logistics and/or supply chain.

- Intermediate knowledge of customs procedures and shipping documentation.

• Optimize Inventory: Monitor and adjust stocking positions using historical and forecast data to keep inventory aligned with business needs.
• Collaborate Across Teams: Work closely with procurement, production, and sales to maintain optimal inventory levels and support business goals.
• Champion Compliance: Maintain supplier documentation and ensure regulatory standards are met (ISO Certifi-cates, CUSMAs, etc.).
• Support Strategic Purchasing: Assist with indirect purchasing for Canadian operations and manage Trading At Settlement (TAS) orders from placement to delivery.
• Drive Performance: Monitor supplier KPIs and foster strong operational relationships to enhance supply chain ef-ficiency.
• Lead Continuous Improvement: Be a key stakeholder in the order-to-cash process, contributing ideas and solu-tions to streamline operations.
What You Bring:
• A bachelor’s degree in Business, Accounting, Engineering, or a related supply chain field.
• 2+ years of hands-on experience in procurement, planning, inventory, or supply chain roles.
• Advanced Excel skills and a knack for data analysis.
• A collaborative spirit and a proactive, “can-do” attitude.
• Strong organizational and communication skills.
• ERP experience (SAP preferred).
• Experience in the chemical industry is a plus!

Job Overview:
The core responsibility of this position will be to coordinate the movement of shipments throughout Canada and North America. You will be required to learn all positions within the department so you can assist as necessary.
Responsibilities and Duties:
- Organize and send load tendering
- Ensure bond and commercial invoices match and are correct
- Track shipments from pickup through to delivery accurately
- Send manifests to carriers and reports to customers
- Source carriers when necessary while utilizing the most cost effective option
- Adapt and assist the day team with an overflow of work
- Ensure all problems are escalated to the supervisor/manager
- Communicate with Mexico on any updates, delays, or any changes with loads.
- Communicate with shippers and terminals when discrepancies arise.
- Escalate OSD issues to supervisor/manager
- Data entry and administrative duties as required.
Skills and Qualifications:
- High school diploma or equivalent required. Bachelors degree in logistics,transportation, or a related field preferred.
- Minimum of 1-3 years of experience in transportation or logistics.
- Proficiency in Excel and transportation management systems (TMS)
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills
