The ideal candidate for this opportunity will have:
- Diploma or Degree in Supply Chain Management or equivalent experience.
- 3-5 years in manufacturing, including leadership experience.
- Strong inventory management skills: ERP experience (Syteline or IFS) is a plus.
- Proficiency in Microsoft Office and solid communication skills.
- Experience working in a unionized environment and balancing Union/Non-Union priorities within CBA requirements.
- Familiarity with basic accounting practices.
- Ability to manage multiple priorities in a fast-paced setting.

About the Role:
Vitacore is seeking a detail-oriented and hands-on Shipping, Receiving & Logistics Coordinator to join our fulfillment team. This role plays a key part in ensuring that materials and products move accurately, efficiently, and on time across all Vitacore operations.
The ideal candidate will have a strong background in global shipping and logistics, excellent organizational skills, and a collaborative mindset. You will work closely with project managers, buyers, engineers, and customers to coordinate shipments, manage warehouse operations, and support internal logistics functions.
This is a non-supervisory, cross-functional position that requires both independence and teamwork in a fast-paced environment.
Responsibilities include:
Logistics Coordination:
- Plan, schedule, and manage all inbound and outbound shipments (domestic and international) for projects, including PO/WO parts and vendor onboarding.
- Negotiate freight rates, prepare competitive bids (RFPs), and maintain relationships with carriers and logistics providers.
- Prepare and maintain shipment documentation (bills of lading, customs paperwork, HS codes) and ensure compliance with Incoterms 2020 and regulatory requirements.
- Track and trace shipments, monitor delivery status, and communicate updates to stakeholders.
- Review freight invoices, create freight POs, and assist with freight spend analysis.
Shipping & Receiving Operations:
- Inspect, verify, receive, and record incoming goods, updating internal spreadsheets and systems.
- Prepare, pack, and label outgoing shipments according to company and regulatory standards.
- Load and unload trucks, arrange pickups, and organize goods for distribution.
- Maintain accurate inventory records and replenish stock as needed.
Warehouse & Fulfillment:
- Organize warehouse and yard areas, stock shelves, and maintain a clean, safe workspace.
- Assist customers and internal teams with order inquiries and logistics information.
- Operate warehouse equipment including Raymond Reach trucks, counterbalance forklifts, and other material-handling machinery.
Skills and Qualifications:
- 3–5 years of experience in global shipping/logistics (ocean, air, courier); 5+ years in shipping & receiving preferred.
- Strong understanding of customs processes, HS codes, country of origin, Incoterms 2020, and hazardous goods transport.
- Proficient in Microsoft Office 365 and ERP systems; Power BI experience is an asset.
- Excellent organizational, communication, and problem-solving skills with a focus on customer service.
- Ability to lift up to 50 lbs and stand for extended periods.
- Team player with strong attention to detail and the ability to work independently in a fast-paced, changing environment.

Position SummaryThe Logistics & Shipping Coordinator is part-time, and responsible for the accurate and timely shipping and receiving of goods and materials. The successful applicant is responsible to coordinate all freight movements for inbound and outbound loads.
**_How you will spend your time_** **:**
+ Move inbound and outbound loads of finished goods and service parts in order to meet customer requirements in a timely manner. Approve alternate carriers on a spot movement basis using discretion.
+ Release customer orders in Mapics to the warehouse in order to support on time delivery.
+ Arrange for outside carriers when necessary, while reviewing rate differences and using the most cost effective carrier where possible.
+ Communicate with relevant parties to ensure compliance with the Routing Guide, as well as customer's compliance.
+ Coordinate with shipping/receiving to ensure outside carrier trailers are used efficiently. This includes analyzing daily yard checks and communicating the use or removal of empty trailers. Maintains control on detention charges.
+ Prepare paperwork for outbound shipments when required and update all warehouse management appointment dates in the system. Set up PAPS clearance when required.
+ Prepare and distribute relevant reports as requested by the Manager, Distribution Operations and Warehouse Supervisors.
+ Match freight Bills of Lading with carrier invoices. Add unit, nature, carrier entity number and verify the freight charges are accurate.
+ Update and monitor our OTIF (On Time In Full),
+ Coordinate on-time part pickups for FTL, LTL and courier, including spike reports and follow-ups for missed pickups. Work with Supervisors to ensure orders are completed and staged on time.
+ Arrange and complete all ship confirming.
+ Prepare appropriate documentation and labelling daily to support shipping for a variety of online orders.
+ Administer returns. Ensure that products being returned from customers or shows/meetings are documented. This may require procedures to be documented or revised in order to improve the process.

Ready to make a difference? In this role, your key responsibility will be to coordinate all aspects of transportation, ensuring compliance with applicable regulations. You will analyze our current practices to identify improvements and optimize our processes. In addition to managing customs documents and permits, you will provide support to the receiving and inventory teams. Thanks to your rigor and expertise, your direct contribution will ensure customer satisfaction and have a concrete impact on our supply chain!
In this position, you will have the opportunity to:
- Track finished product inventory and communicate with customers to arrange transportation
- Organize LTL (Less Than Truckload) and FTL (Full Truckload) transportation
- Produce and verify shipping documents (delivery slips, labels, etc.)
- Supervise trailer loading in accordance with safety and quality standards
- Ensure the quality, compliance, and safety of packaging prior to shipment
- Manage storage space to optimize the use of the premises
- Manage inventories of finished products and raw packaging materials
- Receive raw materials delivered by closed truck
- Receive products from subcontractors
- Organize transportation to and from subcontractors
- Perform all other related tasks related to logistics and shipping

ProfileWith the following skills and qualities, you will be successful in this role:
- Degree in logistics, operations management, or a related field (an asset)
- Relevant experience in logistics coordination or shipping
- Proficiency in logistics-related computer tools (ERP, Excel, etc.)
- Knowledge of transportation and shipping standards
- Strong organizational and priority management skills
- Excellent interpersonal and customer service skills
- Leadership and ability to supervise a team
- Analytical mind and ability to solve problems quickly
