DESCRIPTION DU POSTE


Mitacs est la recherche dune coordonnatrice ou dun coordonnateur du soutien aux subventions parfaitement bilingue afin dapporter un soutien administratif et clientle lensemble de notre clientle interne et externe. Responsable de lassistance de premire ligne, la personne retenue participe au triage et aide la saisie des demandes et aux tches quotidiennes de soutien aux subventions, comme lvaluation de ladmissibilit des demandes et la production des lettres de rsultat.

Idalement, vous devez tre capable de communiquer de manire professionnelle en franais comme en anglais et dadopter une approche centre sur le client et vous avez de solides comptences en rsolution de problmes. Vous travaillerez sous lgide de la cheffe dquipe, Gestion des subventions, au sein du service Prestation de services


PRINCIPALES RESPONSABILITS


Service la clientle:

  • Offrir un service la clientle exceptionnel en encourageant des relations accueillantes, positives, attentives et proactives avec lquipe.
  • Utiliser les connaissances et les outils disponibles pour trier et effectuer les tches dans la bote de rception commune de lquipe Gestion des subventions.
  • Traiter les demandes dextension de processus et autres demandes de modification de projet qui vous seront assignes.

Administration:

  • Aider la maintenance du site SharePoint et des outils de suivi des indicateurs du service.
  • Aider lquipe la rception des demandes et la saisie des donnes, ainsi qu dautres tches quotidiennes de pr-approbation comme lvaluation administrative des demandes selon les critres dadmissibilit, la production des lettres de rsultat et des propositions rvises, ainsi que le suivi des demandes incompltes.
  • Veiller lexactitude des donnes saisies dans nos systmes et lenregistrement de tous les documents et renseignements requis.
  • Assister aux essais dacceptation des utilisateurs (EAU) pour les nouveaux systmes et outils.
  • Effectuer dautres tches au besoin pour contribuer latteinte des objectifs du service.


COMPTENCES ET EXPRIENCE REQUISES

    • ducation postsecondaire
    • Matrise de langlais et du franais, tant loral qu lcrit, et fortes capacits de communication. La matrise de langlais parl et crit est requise pour ce poste, car vous interagirez avec des collgues, de la clientle et des parties prenantes partout au Canada.
    • Facilit et curiosit par rapport aux technologies doubles dun intrt pour lapprentissage et lvaluation de nouveaux logiciels et de nouvelles applications.
    • Comptences interpersonnelles hautement dveloppes et passion pour servir la clientle et aider les autres
    • Connaissance approfondie de la suite de produits Microsoft Office (SharePoint, Word, Excel, PowerPoint, Outlook).
    • Esprit dinitiative et capacit travailler de faon autonome comme en quipe et concilier les besoins de diffrentes personnes.
    • Exprience avre en gestion de bureau et en administration pour traiter un vaste ventail de tches.
    • Excellentes comptences en gestion du temps et capacit faire preuve de polyvalence et tablir des priorits.

Grants Support Coordinator

Position Summary

Mitacs is looking for a fully bilingual Grants Support Coordinator to provide administrative support and customer service to our various clients, both internal and external. Responsible for front-line help, this position participates in triaging and assists with application entry, in addition to daily grants support tasks, such as application eligibility reviews and processing outcome letters.

The ideal candidate must be able to communicate in a professional manner in both English and French, possess a customer-oriented focus, and have strong problem-solving skills. This position reports to the Team Lead, Grant Management within the Service Delivery Department.


KEY RESPONSIBILITIES

Customer service:

  • Provide exceptional customer service by fostering a welcoming, positive, attentive, and proactive relationship with the team
  • Use knowledge and tools available to triage and carry out assignments in the shared Grants inbox
  • Process extension requests and other project change requests as assigned

Administration:

  • Assist in maintaining the departments SharePoint site and metrics trackers
  • Assist the team with the application intake and data entry, as well as other daily pre-approval tasks such as the administrative and eligibility review of applications, outcome letters, revised proposals and follow ups on incomplete applications
  • Ensure accuracy of data captured in our systems and logging of all required documents and information
  • Assist with UAT of new systems and tools
  • Other tasks as required to support department goals


REQUIRED SKILLS AND EXPERIENCE

  • Post-secondary education
  • Fluent in both written and spoken French and English with highly professional communication skills. Knowledge of written and spoken English is required in this role as you will interact with colleagues, clients and stakeholders located across Canada.
  • Technological savvy and curiosity, with an interest in learning and testing new software and applications
  • Highly developed interpersonal skills with a passion for customer service and helping others
  • High proficiency with the Microsoft Office suite of products (SharePoint, Word, Excel, PowerPoint, Outlook)
  • Self-motivated, able to work independently and in a team environment, as well as balance the needs of a number of individuals
  • Proven office management and administrative experience handling a wide range of duties
  • Excellent time management skills and ability to multitask and prioritize work
