As the In-Store Marketing Solutions Specialist, Inventory Management & Online Tools, you will play a critical role in supporting in-store grocery retail operations, ensuring store teams are equipped with the right signage tools to promote sales in a fast-paced retail environment.
You will be responsible for managing and coordinating the inventory of printed marketing signage assets across multiple store banners, while also overseeing the day-to-day operation and enhancement of Sobeys Print Services (SPS), our internal online signage ordering platform. This includes supporting the ongoing development and coordination of customizable signage templates, optimizing the user experience, and driving platform efficiency.
Through close collaboration with internal stakeholders and external vendors, youu2019ll maintain accurate data, troubleshoot issues, support quote and invoice tracking, and ensure seamless signage fulfillment across our network. This role combines operational precision, cross-functional communication, and a customer-focused mindset to deliver signage solutions that are both efficient and impactful.
Hereu2019s where youu2019ll be focusing:
Sobeys Print Services (SPS):
Oversee the day-to-day maintenance of SPS, including asset updates, store profile management, and ongoing user experience and navigation improvements.
Work closely with the print supplier to troubleshoot challenges, resolve issues, and identify platform enhancements that support store efficiency.
Coordinate the setup and management of SKU-level signage data and categories for accurate online ordering.
Support the ongoing development and publication of customizable signage templates, working with Creative and Banner Marketing teams to ensure stores can generate compliant, localized signage for their needs.
Monitor usage patterns and order trends to ensure adequate stock and system reliability to support growing demand.
Field store feedback and support the resolution of SPS-related inquiries, improving the overall user experience for store teams.
Printed Finished Goods/Inventory
Manage the inventory portfolio of printed signage materials (~5,050 SKUs) across all banners (excluding Quebec), ensuring accuracy, availability, and alignment with marketing and operational priorities.
Serve as the day-to-day point of contact with the print vendor for inventory performance, material usage, forecasting accuracy, and ongoing reporting.
Oversee ongoing SKU lifecycle management, including:
Removal and destruction of outdated SKUs
Review and right-sizing of slow-moving inventory
Management of replenishment cycles and low watermarks
SKU audits: descriptions, pricing, gating, keywords, and units of measure
Ensure backorder health and maintain up-to-date tracking, reporting, and validation for replenishment and destruction activity.
Develop and maintain reporting dashboards on inventory health, usage, fulfillment trends, and warehouse value.
Collaborate with suppliers to forecast replenishment needs and identify opportunities to reduce SKU count and associated warehousing or handling costs.

Job Description: Salary: Maximum fee of $35,000 Request for Proposals Freshwater Literature Review and Data Analysis Commencing for October 2025 to March 2026 18 July 2025 PROPOSAL DEADLINE: Monday, September 8 by 5pm EDT PROPOSALS DELIVERED TO: Wildlife Conservation Society Canada 1.0 Background Wildlife Conservation Society (WCS) Canada is a national non-governmental organization with a mission is to save wildlife and wild places in Canada through science, conservation action, and by inspiring people to value nature. WCS Canada is affiliated with global WCS programs in more than 60 countries, and we are active at the science-policy interface in Canada and internationally. This RFP is issued by WCS Canadas Ontario Northern Boreal program, active since 2004 in the far north. As one of the few organizations with a continuous scientific presence in the region, we lead field-based research on large mammals, freshwater fish, and peatlands; co-develop programs with First Nations; collaborate with academic, government, and Indigenous researchers; and contribute to policy development to guide conservation decisions. 2.0 Contracting opportunity WCS Canada producing a report summarizing multiple years of freshwater ecological data that has been collected on the water quality, water chemistry, fish contaminants, and benthic invertebrates in northern boreal rivers in Ontario. We are seeking proposals (RFP) from qualified individuals or groups to support the completion of this report. We are requesting that individuals or groups submit a proposal outlining their qualifications, relevant experience, and proposed approach to conducting a literature review and statistical analyses of previously collected data. This work will inform and support the creation of a comprehensive and useful summary report by WCS Canada that outlines the status and trends in these northern boreal rivers. 3.0 Proposal Administration All requests for clarification and questions concerning this RFP must be submitted in writing no later than 5 September 2025 via email to Brianna Kim, Finance and Administrative Manager (indicate Freshwater Literature Review and Data Analysis on the subject line). Responses, if determined appropriate by WCS Canada, will be issued in writing to all known proposers. Proposals, plus attachments, are to be submitted in e-form to: Brianna Kim, Finance and Administrative Manager, WCS Canada may request an interview of any proposer (vendor). Such a request for an interview does not constitute a contract award. The review should prioritize sources that directly inform or contextualize the interpretation of the collected data; andOrganize identified literature into a database that includes a summary for each resource.Provide assistance and support for summarizing the literature review and data analyses into a final report to be written by WCS Canada staff. The selected proposer is expected to have the following qualifications: Must have experience with freshwater ecological monitoring and research, including familiarity with common approaches used for: freshwater ecological monitoring, freshwater statistical analyses, and freshwater literature reviews;Additional preference will be given for experience with ecological monitoring and research in northern boreal rivers;Must be familiar with ecological analyses in R; andBe familiar with WCS Canadas mission and programmatic activities. 5.0 Length of Engagement The term of engagement is for an approximately 6-month period ending March 30, 2026. 6.0 Proposal Content Proposals should be clear and concise and should address in detail, and with appropriate documentation, each of the items listed below. Relationship of the Parties Contractors relationship to WCS Canada under this Agreement is that of an independent contractor. Nothing in this Agreement will be deemed to constitute a relationship of employer-employee, joint venture, partnership, agency, or legal representative between Contractor and WCS Canada for any purpose. Neither Contractor nor any of its employees, independent contractors or agents will receive the health insurance, sick leave, vacation, pension, retirement savings plan or other fringe benefits, or severance or termination pay, associated with regular employment at WCS Canada. 3. Termination Either party may terminate this Agreement without cause by furnishing at least 30 days written notice to the other. In such event, Contractor will be paid only for services actually rendered to the date of termination. Confidentiality Contractor warrants that it will maintain in strict confidence WCS Canadas Confidential Information (as defined below) to which it has access during the term of this Agreement. **Primary Responsibilities:**

* Responsibility to build grower direct shipments (Customers).
* Responsibility to build grower to MPL facility loads from the Category Managers GSP request.
* Minimize inbound freight costs.
* Building transfers to fill Category Managers requests.
* Inform Category Managers of pushed loads (Hot items).
* Develop supply plans that meet the unique projected demand of the distribution center.
* Manage demand plan and forecast development in conjunction with Planning and Sales teams.
* Coordinate with Procurement and Logistics on forecasted inbound needs.
* Monitor and track replenishment lanes (inbounds, transfers), establishing plans to curb shortages.
* Monitor daily inventory levels and report to Category Manager any deviations from target levels
* Become familiar in leveraging the ERP system, mastering basic functions required for completing responsibilities as described
* Manage product flow from grower to facility.
* Work closely with cross functional teams such as Commodity Planning, Logistics, Inbound Procurement, Shipping and Receiving; with a focus on load priorities, product quality specifications, network analytics and operations planning to implement best practices that provide the best service to our customers at the lowest cost.
* Monitor and document site trends and customer behaviors as they relate to volumes, frequency and stability



**Education/Background Requirements:**

* College or University degree in business, analytics or supply chain required.
* One-year experience in produce industry, supply chain, planning or similar required.



**Specific Knowledge, Skills and Abilities Required**

* A Valid Passport is required.
* Must be a strong communicator.
* A fast learner who can grasp abstract processes after little exposure.
* Demonstrate a sense of confidence in personal decision-making abilities.

  • Organize and send load tendering
  • Ensure bond and commercial invoices match and are correct

  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills

Based in Canada and reporting to our Supply Chain Leader, youll be the link between our Asia-based suppliers and our internal teams making sure products move on time, inventory flows efficiently, and everyone stays in sync.


Youll take the lead on coordinating orders, managing shipments, and keeping documentation accurate and on track. Whether its chasing down a delayed container or identifying ways to improve delivery timelines, youll help keep our global supply chain running like a well-oiled machine.


Responsibilities:


On-Time Delivery

  • Raise demand on factories and act as the primary contact to collect commit dates and ensure on-time delivery of products
  • Address delays or issues proactively and work with internal and external stakeholders to minimize disruptions.
  • Confirm shipping schedules with suppliers weekly using open PO reports; flag and resolve concerns.
  • Follow urgent or high-priority orders closely with suppliers to expedite as needed.

Inventory and Logistics

  • Propose improvements to minimize inventory levels
  • Coordinate and confirm shipment bookings, tracking details, and documentation accuracy.
  • Discover cost-effective shipping modes and schedules.
  • Arrange local deliveries of samples and production when needed.

Liaison with Freight Forwarders and Customs Brokers

  • Work with third-party brokers, freight forwarders, and logistics partners to ensure timely and compliant clearance of imported goods to US and Canada.
  • Prepare, review, and submit required documents (e.g., commercial invoices, packing lists, HS codes, certificates of origin, fumigation certificates, etc.)
  • Track shipments and ensure the accuracy of customs entry information.
  • Resolve any customs holds, inspections, or discrepancies.
  • Review and validate customs charges and brokerage fees.
  • Identify opportunities for cost savings (e.g., tariff engineering, duty drawback programs).
  • Support claims or refunds for overpaid tariffs, duties or GST.

System & Data Accuracy

  • Maintain and accurately update PO records, job entries, and inventory receipts in ERP (Epicor).
  • Verify and enter supplier invoices accurately.
  • Support 3PL activities for finished goods inventory tracking.

Customer & Vendor Relationship Management

  • Develop strong working relationships with customers, key factories and suppliers.
  • Proactively communicate updates to vendors to maintain alignment.

Administrative Support

  • Support cross-functional communication between Canada and Asia offices.
  • Ensure all shipping-related documentation is accurate and timely.
  • Coordinate and respond to supplier questions about orders and logistics.

Continuous Improvement

  • Lead or participate in projects that improve supply chain efficiency and customer satisfaction.
  • Track and report KPIs related to supplier performance and delivery.
  • Suggest and implement continuous improvement initiatives in procurement and logistics.

About You


Our ideal candidatepossesses the following qualifications:

  • 2-4 years of experience working in logistics and/or supply chain.
  • Post-secondary education in Supply Chain, Material Management, or Logistics.
  • Experience coordinating international shipments and working with freight forwarders.
  • Intermediate knowledge of customs procedures and shipping documentation.
  • Excellent organizational skills and attention to detail.
  • Ability to work with global teams, accommodating early morning or late afternoon hours to support Asia-based operations.
  • Preference for Certified Customs Specialist (CCS) designation or equivalent experience.
  • Experience in electronics manufacturing, EMS, ODM, or OEM environments would be an asset.
  • Strong communication skills (written and spoken) in English. Mandarin would be a plus but is not required.


Skills & Tools

  • Proficient with Microsoft Office (especially Excel).
  • Comfortable using ERP systems (Epicor preferred).
  • Ability to write and maintain SOPs and training materials.
