Are you a customer service hero looking for your next adventure?

The front desk and night audit role represents the hotel to the guest throughout all stages of the guest's stay. Works closely with the housekeeping department in the keeping room status reports up to date and coordinates requests for maintenance and repair work. Maintains guest room key storage, and maintains and supervises access to safe deposit boxes.

Responsibilities and Duties:

  • Register guests and assigns rooms.
  • Accommodate special requests whenever possible.
  • Assist in preregistration and blocking of rooms for reservations.
  • Thoroughly understand and adheres to proper credit, check- cashing, and cash handling policies and procedures.
  • Perform end of day accounting tasks
  • Coordinate room status updates with the housekeeping department by notification housekeeping of all check outs, late checkouts, early check-ins, special requests, and day use rooms.
  • Possesses a working knowledge of the reservations department. Takes same day reservations and future reservations when necessary. Knows cancellation procedures.
  • Process guest check-outs.
  • Performing cashier related functions like posting charges to guest accounts, raising paid out's, currency exchange,
  • Follows procedures for issuing and closing safe deposit boxes used by guests.
  • Uses proper telephone etiquette.
  • Reports any unusual occurrences or requests to the manager or assistant manager.
  • Knows all safety and emergency procedures, is aware of accident prevention policies.
  • Additional duties as required

Job Summary
In a manner consistent with the Coast’s mission, philosophy, policies and objectives and under the direction of the Housing Manager the Front Desk Attendant is responsible for monitoring the Front Desk/Reception area of the building.

Typical duties include

  • Greeting guests and tenants
  • Ensuring and enforcing community rules
  • Managing keys and sign in roster
  • Interacting with tenants and performing security duties for the facility such as monitoring the front door
  • Patrolling, checking that doors and windows are secure
  • Performing reception type duties such as directing calls, receiving and relaying messages, engaging visitors, clients and guests and responding to in person inquiries in a professional courteous manner
  • Providing building information to clients such as the safety systems, guest and visitor protocols
  • Allowing safe and timely access and egress to the building and fulfilling
  • Responsible for other related duties as assigned

Required Qualifications
Grade 12 education or equivalent, a Certificate in Building Service or a Security Guard Training Certificate from a recognized college or equivalent combination of education, training and 6 months experience are required. Upon hire, you must be able to either provide or obtain a First Aid Certificate and a Ministry of Justice Criminal Record clearance.

As the Front Desk Receptionist at SUNPAN, you will be the first point of contact for visitors and callers. We are looking for someone who is professional, organized, detail-oriented, and passionate about providing excellent service.


PRINCIPAL FUNCTIONS & OBJECTIVES

  • Greeting Visitors: Welcome and assist visitors, clients, and employees in a courteous and professional manner.
  • Handling Client Communications: Answer and direct phone calls and emails to appropriate staff members, take messages, and handle inquiries with efficiency.
  • Record Keeping: Ensuring all guest sign-in on arrival.
  • Administrative Support: Perform general administrative tasks such as filing, data entry, and managing office supplies.
  • Customer Service: Address any questions or concerns from visitors and clients, always providing excellent customer service.
  • Mail Handling :Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and shipments. Assist marketing team with seasonal mail outs.
  • Reception Area Management :Maintain a clean and organized reception area, including keeping the front desk and lobby tidy.
  • Office Amenities Management :Organize and maintain the coffee machines and snack bars, including monitoring inventory levels and placing orders to replenish coffee and snack supplies as needed.
  • Other responsibilities and accountabilities as assigned by management



KEY SKILLS AND EXPERIENCE

  • Experience: 2-4 years of experience in a high-volume administrative or customer service role preferred.
  • Multitasking : Ability to manage multiple priorities simultaneously, including handling up to 8 phone lines.
  • Technical Skills: Proficient in Microsoft Office Suite; experience with VOIP (Voice Over IP) systems is an asset.
  • Interpersonal Skills: Strong interpersonal skills with a professional and service-driven approach.
  • Adaptability: Energetic and tenacious team player who thrives in a fast-paced, dynamic environment.
  • Communication Skills: Excellent verbal and written communication skills with fluency in English.
  • Organizational Skills: Highly organized and efficient in planning and executing tasks with exceptional attention to detail.
