What You Will Do:

  • Coordinate bulk operations, including scheduling and field communication for the Mississauga plant & terminal locations.
  • Support initiatives that improve safety, cost, service, quality &/or compliance.

  • Evaluates, & supports sourcing strategies & new potential terminals.

  • Perform other administrative tasks as needed.

Position Details:

  • The work location for this position will be Mississauga (Tomken Rd./Eglinton Ave.)
  • Candidate must reside in : Greater Toronto Area
  • Hours of work : 8:00am to 4:30pm Monday to Friday

Minimum Qualifications:

  • High School Diploma or equivalent.
  • Previous production/logistics experience.
  • Proficient in Microsoft Office Suite: PowerPoint, Excel, Word, and Outlook
  • Able to travel to the US for training/meetings
  • No Immigration Sponsorship available for this opportunity.

Physical Requirements:

  • Ability to lift and carry 25lbs

Preferred Qualifications:

  • Previous experience in a warehouse, transportation, shipping & receiving related capacity.
  • Experience with TMS for rating, scheduling, and routing customer returns.

  • Strong organizational skills and ability to multi-task.
  • Strong attention to detail, good communication skills and a team player.

**Position Summary:**
The **Logistics Coordinator** plays a key role in ensuring the efficient and timely movement of goods domestically and internationally. This position is responsible for preparing shipping and customs documentation, coordinating with carriers and internal teams, maintaining accurate shipment records, and supporting logistics reporting and on-time delivery performance. This position reports to the **Logistics Team Leader** and is based on-site at **VIQUA in Guelph, Ontario.**
**Key Responsibilities**
+ Coordinate domestic and international shipments (inbound and outbound)
+ Prepare shipping and customs documentation (commercial invoices, packing slips, bills of lading)
+ Support logistics reporting (costs, tracking status, on-time delivery metrics)
+ Assist in resolving transportation issues or delivery delays
+ Maintain accurate records of shipments, freight quotes

**Qualifications**

**_What you will do:_**
The successful applicant is responsible to coordinate all freight movements for inbound and outbound loads.
**_How you will spend your time_** **:**
+ Move inbound and outbound loads of finished goods and service parts in order to meet customer requirements in a timely manner. Approve alternate carriers on a spot movement basis using discretion.
+ Release customer orders in Mapics to the warehouse in order to support on time delivery.
+ Arrange for outside carriers when necessary, while reviewing rate differences and using the most cost effective carrier where possible.
+ Communicate with relevant parties to ensure compliance with the Routing Guide, as well as customer's compliance.
+ Coordinate with shipping/receiving to ensure outside carrier trailers are used efficiently. This includes analyzing daily yard checks and communicating the use or removal of empty trailers. Maintains control on detention charges.
+ Prepare paperwork for outbound shipments when required and update all warehouse management appointment dates in the system. Set up PAPS clearance when required.
+ Prepare and distribute relevant reports as requested by the Manager, Distribution Operations and Warehouse Supervisors.
+ Match freight Bills of Lading with carrier invoices. Add unit, nature, carrier entity number and verify the freight charges are accurate.
+ Update and monitor our OTIF (On Time In Full),
+ Coordinate on-time part pickups for FTL, LTL and courier, including spike reports and follow-ups for missed pickups. Work with Supervisors to ensure orders are completed and staged on time.
+ Arrange and complete all ship confirming.
+ Prepare appropriate documentation and labelling daily to support shipping for a variety of online orders.
+ Administer returns. Ensure that products being returned from customers or shows/meetings are documented. This may require procedures to be documented or revised in order to improve the process.

  • Work closely with Order Management to ensure we meet our customers’ logistical requirements.
  • Provide day-to-day logistical support to our internal customers.
  • Work directly with customers to develop logistical solutions that meet their specific needs.
  • Work with our Engineering team on product compliance processes.
  • Update ERP, logistics and shipping systems as required.
  • Review/Approve freight charges from our couriers.
  • Work with our logistics partners to ensure we are provided with the best pricing possible.
  • Participate in special projects throughout the year, focusing on streamlining controls and processes, in addition to providing specialized support to other team members.

Who You Are:

You’re a strategic thinker with a knack for operational excellence, ready to tackle multiple priorities with agility and grace. If you have:

  • Post-secondary education in a relevant field.
  • At least 5 years of experience in a logistics or supply chain role.
  • Over 2 years of hands-on experience with international shipping, including handling dangerous goods.
  • Deep understanding of current Incoterms and international customs clearance processes.
  • Proficiency in ERP systems; experience with JD Edwards (JDE) is an asset.
  • Solid knowledge of all transport modes—courier, ocean, air, and ground.
  • Preferred certifications in Logistics, Trade Compliance, or Hazardous Goods Handling.
  • A collaborative spirit with a continuous improvement mindset.
  • Exceptional communication, presentation, and analytical skills.
  • Strong organizational abilities and the capacity to multitask effectively.

THE ROLE

Reporting to the Associate Director of Operations, the successful candidate will be responsible for overseeing and executing field assignments. These include new ATM installations, removals, relocations (both in-store and between locations), as well as machine and hardware upgrades. This position requires strong organizational skills, effective communication, and the ability to manage multiple priorities in a fast-paced environment.

The role is based out of our Etobicoke, ON office and follows a hybrid work model of four days in-office per week.

WHAT YOU'LL BE DOING

  • Coordinate with retailers and service partners to arrange and execute ATM installations nationwide.
  • Plan and schedule installation timelines, ensuring alignment with inventory availability and partner capacity.
  • Manage relationships with third-party service providers by scheduling work, monitoring progress, and ensuring timely completion of tasks.
  • Create, track, and update service tickets for all ATM-related activities, maintaining accurate records and ensuring deadlines are met.
  • Serve as the primary point of contact for inquiries related to ATM installations, maintenance, and upgrades, providing timely updates to retailers and partners via phone and email.
  • Review and approve invoices related to field service jobs, ensuring accuracy and compliance with company policies
  • Collaborate closely with internal teams (Sales, Warehouse, Compliance) to ensure accurate and up-to-date information sharing pertaining to field jobs.
  • Contribute to the development and improvement of operational processes to enhance efficiency and service quality.
  • Coordinate with the Marketing team to plan and execute in-store branding activities as part of ATM deployments
  • Perform additional related duties as required to support the operations team.
