Document Control Administrator

Role:

Responsible for registering, tracking, classifying and distributing electronic and hard copy documents, this includes drawings, specifications, Digitizing data, vendor documentation packaging and other controlled Tasks as required documents as required by projects. Work closely with the quality control team to ensure all products meet intended specifications and requirements.

Responsibilities



* Meet with the project team for preparation of technical submissions.
* Open, sort and distribute correspondence (including faxes and electronic mail) and respond to routine inquiries
* Build, update all Unit manuals and provide drawings for client packages .
* Receive documents from client, save on server, archive old documents & forward all unapproved documents with comments to project coordinator and designers.
* Arrange meetings with clients & project manager, Track meeting minutes and ensure all documents are provided at end of projects.
* Develop or maintain a records management system (including classifying and coding electronic and hardcopy files).
* Build Manufacturing Record Book with all as built documents and place it into the unit.
* Create Rating plate (Name plate) with ETL approved logo and stick into control panel.
* Receive and circulate vendor equipment drawings for approval.
* Compile and assemble supplier ICE Equipment Data Manuals.
* Control on line project data archives.
* Reporting any defects or problems with products to senior managers.
* Ensuring compliance with standards and regulations.
* Monitoring and reporting on all activities, processes, and procedures.
* Perform internal QA audit and manufacturing audits.
* Preparing and maintaining quality management documentation.
* Check the quality of materials and products for the company as well as production procedures.
* Create, update Marketing Material for clients.
* Update Built AS Bill of Material.
* Take pictures of units on the floor to ensure our quality is exceptional, any issues needs to be reported to supervisors.
* Other duties if required.



Experience:



* Electrical background or trade skillset is considered an asset.
* Certification in manufacturing or quality control considered and asset
* Have a diploma/degree from a Business Administration program or related experience
* Minimum 2-3 years in document control administration.
* Flexibility, adaptability and ability to work in a changing environment.
* Ability to work across and variety of projects and with diverse scopes
* Proven ability to work with multiple deadlines and multiple priorities required
* Experience in the construction and/or oil and gas industry.
* Excellent computer skills in Microsoft Office and Abode

Here's how a Document Control Student for our Ottawa office contributes to our team:
**Responsibilities**
+ Ensures that all project documents are filed both electronically on the project computer network and within the project specific website (PDC).
+ Ensures that a record of these filings is recorded in the PCL document control log.
+ Prepares cover letters and crafts necessary documentation for distribution to appropriate personnel and subcontractors.
+ Links necessary construction drawings to consultant groups and distribute correspondences of change updates as they come in.
+ Coordinates, marks up and updates drawings.
+ Assists with the work of the project procurement program.
+ Coordinates work specific scope and trades.
+ Documents SI's, RFI's and change orders for the project site.
+ Reviews and edits project documentations.
+ Performs quantity take-offs and supports the team with other ad hoc tasks.
**Qualifications**
+ Working towards a degree or diploma in a civil engineering related field.
+ A passion for working in a construction environment.
+ Strong proficiency in Microsoft Office applications.
+ Strong organizational skills and the ability to work well in a rapidly changing environment.
+ Experience with data entry, compiling of files and distribution of project documentation is an asset.

**Responsibilities**
+ The Document Control Specialist will support and assist the management of engineering documents in accordance with government/company regulations and procedures on various projects.
+ The Document Control Specialist is responsible for processing internal and external distribution of engineering documentation on incoming and outgoing workflows, and preparing transmittals for document distribution, as directed.
+ Other duties include reviewing and/or conducting quality checks of documents, as needed; configuring, updating and maintaining engineering document management systems and permissions; updating and maintaining various distribution matrixes
+ Address and resolve any issues related to document control promptly.
**Qualifications**
+ Bachelor's degree in business, information management, information technology, data management, or computer information systems is preferred, though not required.
+ 1+ years' experience, requires advanced knowledge of operational procedures and tools obtained through extensive work experience.
+ Proficient use of Microsoft Office Suite
+ Excellent written and oral communication skills
+ Detail oriented with effective organization and coordination skills
+ Ability to:
+ identify and utilize the correct tools, systems and techniques to index, file and control engineering documents
+ remain flexible when dealing with changing requirements

**Responsibilities**
+ The Document Control Specialist will support and assist the management of engineering documents in accordance with government/company regulations and procedures on various projects.
+ The Document Control Specialist is responsible for processing internal and external distribution of engineering documentation on incoming and outgoing workflows, and preparing transmittals for document distribution, as directed.
+ Other duties include reviewing and/or conducting quality checks of documents, as needed; configuring, updating and maintaining engineering document management systems and permissions; updating and maintaining various distribution matrixes
+ Address and resolve any issues related to document control promptly.
**Qualifications**
+ Bachelor's degree in business, information management, information technology, data management, or computer information systems is preferred, though not required.
+ 1+ years' experience, requires advanced knowledge of operational procedures and tools obtained through extensive work experience.
+ Proficient use of Microsoft Office Suite
+ Excellent written and oral communication skills
+ Detail oriented with effective organization and coordination skills
+ Ability to:
+ identify and utilize the correct tools, systems and techniques to index, file and control engineering documents
+ remain flexible when dealing with changing requirements
+ multi-task and work proactively to resolve issues
+ work independently

+ Proficiency in software such as Bluebeam, Adobe Pro, or Smartsheet is preferred

+ Knowledge of Bluebeam Studio for comment resolution is an asset

Job Description

  • Develop and implement document control procedures
  • Create and maintain comprehensive document control procedures, including naming conventions, version control, and document lifecycle management.
  • Manage electronic document management systems (EDMS)
  • Oversee the implementation and operation of the company's EDMS, ensuring proper document access, security, and data integrity
  • Monitor document flow by tracking the movement of project documents from creation to final approval, including routing, review, and distribution processes

POSITION OVERVIEW:

Reporting to the Quality Control Manager, the Document Control Specialist will be responsible for providing customer service and training to all employees needing assistance with Good Manufacturing Practices (GMP) and Good Documentation Practices (GDP).

KEY RESPONSIBILITIES:

Administers document system access and revision control to ensure appropriate security based on business need

Assists with the assessment, acquisition and/or deployment of electronic document management systems

Assists in the development of document classifications to facilitate information storage and retrieval

Assist managers and others in creating training curricula, materials, documentation

Provide additional support to the Quality organization as required including maintaining original Quality documents, loading PDFs into the Quality SharePoint, updating controlled lists

Participating in planning, and successful implementation of special requests made by Manager/Project Managers including special information needs such as the need to extract information from documents extracts list of project materials and provides to engineering

Receive, file, and maintain all GXP documents, including but not limited to standard operating procedures (SOPs), test methods, specifications, incident reports, CAPAs, Product Complaints, computer system validation

Manage a Document Repository that tracks the receipt, revisions and archiving of all documents

Oversee and administer document lifecycle management the Document Change Request process

Assist in the maintenance of training records and documentation within our Learning Management System

Index of drawings

Provides support to the technical service teams in support of technical data integrity and entry

Work with Engineers to update Top Level BOM/Specification data in Cost Point

Maintain approval process

Schedule meetings with support teams to finalize BOM and/or RFP’s

Responsible for the maintenance of the document control system

Maintains all ISO standard operating procedures, work instructions and product labeling files

Maintains revision and approval status of all documents

Maintains hard copies of all approved documentation

Perform special projects in Excel and other applicable software

Review of documentation – test results for raw materials, components and QA inspection documentation to assure material meets specifications

Reprocessing Approvals, Planned Deviations, Document Change Requests, Change Control Requests, templates

Ensure adherence with GMPs and SOPs

Balances personal work and team priorities

Respond to and resolve customer questions or issues

Compile reports, updating and verifying data for processing

Downloading drawings from the drawing list and save them to an electronic storage location specified General office skills (data entry, scanning documents, filing) are essential

Experience with MRP/ERP/PLM Systems is a plus

Must be a team player and interface well with others

Applied technical knowledge of Product Life Management systems is preferred

Manage the lifecycle of vendor documentation from receipt, distribute, review and return to vendor till compilation of final documentation

QUALIFICATIONS:

Education:

Post-Secondary education.

Experience:

3 years’ experience in Document Control/QA/QC

These experiences should be gained in areas of engineering, quality or technical operations and should include a minimum of one year document control management

Experience in document control for the design and construction of large projects a plus

Experience with an electronic Quality/Document Management System preferred

Good organizational, project management skills and ability to perform varied tasks in a disciplined, consistent manner

Ability to analyze, interpret technical procedures and regulations

Quality Assurance experience in the industry, including the ability to identify and resolve document control and training compliance issues

Problem solver and ability to deal with a variety of concrete variables in situations where only limited standardization exists

Familiarity with the Engineering Release and Change Control process is a preferred

ISO experience is preferred

Good PC Skills. Proficiency with Microsoft Office applications.

Detail-oriented with a keen eye for precision, spotting errors and inconsistencies.

Role Overview: Document Control Manager


WeBuild Canada is seeking a highly organized and detail-oriented Document Control Manager to support the refurbishment and construction of a deepwater intake tunnel in anticipation of a project we intend to commence in the Summer of 2025.


This critical infrastructure project demands rigorous documentation standards to ensure compliance with nuclear safety regulations, engineering specifications, and project timelines. The successful candidate will lead the development, implementation, and oversight of document control systems, ensuring the accurate management, distribution, and archival of technical documents, drawings, and records across multidisciplinary teams. This role is pivotal in maintaining traceability, quality assurance, and regulatory compliance throughout the lifecycle of the project


Responsibilities:


  • Create document control guidelines and responsibilities and ensure these are executed and followed appropriately.
  • Implement a document management team and system in line with the needs of the organization including but not limited to project initiation for various projects within the organization.
  • Define and implement the tools, systems, policies and procedures necessary to effectively manage document control requirements.
  • Act as the main point of contact for document control with internal and external stakeholders.
  • Establish document management best practices and opportunities for continuous improvement.
  • Develop and implement work processes and procedures such as Operations and Maintenance Document Review Control, Design/Engineering Document Review Control, Correspondence Control, Contract or Vendors Data Management, Standards Management, Project Standards and Document Numbering.
  • Design and implement detailed work instructions to support the approved procedures.
  • Ensure all document management equipment (hardware, software, etc.) is effectively maintained.
  • Manages and maintains department budget and headcount.
  • Monitor staff performance and quality of work through providing coaching/mentoring and training .
  • If required, set up hard copy filling system with wet signature hard copy filing.
  • Champion the development of improved document workflows to reduce timelines .



Experience Requirements:


  • College graduate with 10+ years of Document Control experience, or an equivalent combination of education and related experience.
  • A minimum of 10 years’ document control experience in a construction project/site environment with a minimum 5 years’ experience in a lead document control role.
  • Proven experience and ability in all aspects of the document control function (design, implementation & management), including document management/control systems, processes, procedures, software tools.
  • Capacity to determine program objectives / requirements to develop standards / procedures for diverse engineering and construction document management activities.
  • Experience working in a fast paced and startup project environment with demonstrated capability of working under tight timelines.
  • Knowledge of rail engineering, operations and maintenance terminology is an asset.
  • Leader in using computerized Document Management applications / Electronic Document Management Systems (EDMS); including Aconex.
  • Highly proficient with Microsoft Office Suite.
  • Strong EDMS skills, including systems such as SharePoint, Aconex, etc.
