Your Opportunity
As a Project Coordinator, you will play a key role in supporting the successful delivery of projects by working closely with Project Managers and engineering teams. Your Key Responsibilities
- Collaborate with Project Managers and multidisciplinary engineering teams to support project execution.
- Manage all aspects of document control, including tracking submissions, maintaining version control, and organizing project files.
- Assist with financial management, including: - Budget tracking and updates
- Estimate to completion (ETC) analysis
- Invoicing coordination
- Financial reporting and variance analysis
- Coordinate and document project meetings, including scheduling, minute-taking, and follow-up on action items.
- Support the preparation of project deliverables and submission packages.
- Track Requests for Information (RFIs), responses, and team inputs.
- Ensure compliance with internal project management frameworks and client requirements.
- Facilitate communication between internal teams and external stakeholders.
- Assist with permit applications and project documentation for regulatory approvals.
- Contribute to business development efforts, including proposal support and marketing materials.
Your Capabilities and Credentials
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent communication skills, both written and verbal.
- Detail-oriented with a proactive approach to problem-solving.
- Skilled in coordinating across multidisciplinary teams and managing complex documentation workflows.
- Familiarity with project financials and reporting tools.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook), Bluebeam, and project management platforms.
- Experience with document control systems and construction administration processes.
- Knowledge of building construction systems and terminology is an asset.
- Familiarity with Ontario AFP and P3 procurement processes is a plus.
- Understanding of clinical and engineering terminology is an asset.
Education and Experience
Bachelor's degree in Architecture, Engineering, or a related field.
Minimum 5 years of experience in project coordination or project management support roles.
LEED Green Associate or LEED AP preferred.
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may require travel and include exposure to the elements including inclement weather.

  • Coordinate project document control by maintaining the document register, managing document filing on SharePoint, preparing, and issuing documents both internally and to Clients and Vendors, as required.
  • Provide general administrative & coordination support to the project manager, including scheduling meetings, taking meeting notes, organizing site visits, and other administrative tasks, as required.

Required Skills, Knowledge, and Abilities:

  • Expert business documentation development and formatting skills with advanced knowledge of document editing in Microsoft Word, PowerPoint, and Excel.
  • Minimum 3 years experience working with project teams in a similar capacity.
  • Proficiency in project management related processes and software.
  • Highly organized and detail oriented, with strong time management skills and an ability to balance multiple tasks and effectively prioritize assignments.
  • Self-starter with strong ability to work independently with minimal supervision.
  • Proficient with Microsoft Office tools, specifically SharePoint, OneDrive, Outlook, Teams, and Microsoft Office (Word, Excel, PowerPoint, etc.)
  • Strong aptitude and interest for learning new technologies.
  • Knowledge in formal documentation formatting, filing, and tracking techniques.
  • Ability to maintain confidential and sensitive information with diplomacy.
  • Excellent interpersonal, communication, and problem solving skills.

About the Company
Our client is an innovative and performance-driven leader in concrete infrastructure. With 30+ years of experience, we specialize in constructing and rehabilitating concrete bridges, culverts, retaining walls, pumping stations, and other heavy civil structures throughout the GTA and surrounding areas.

Role Overview

As a Project Coordinator, you will play a critical support role in both office and field settings. Collaborating closely with Project Managers and Site Superintendents, you’ll ensure efficient site operations, accurate documentation, and seamless coordination across all project phases.

Key Responsibilities

  • Project Administration & Documentation
    • Create, manage, and update project records: meeting minutes, RFIs, change orders, submittals, transmittals, and site instructions.
    • Track and maintain logs for shop drawings and submittals; organize close-out documentation and assist with issuance of substantial completion certificates.
    • Assist in preparing purchase orders, subcontract documentation, and progress-based invoices.
  • Field Coordination
    • Attend and support site meetings, site tours, and client interactions, document outcomes and follow-up actions.
    • Assist site superintendent in monitoring daily site operations: workforce deployment, material delivery, and subcontractor coordination.
    • Help enforce site safety protocols, maintain safety records, and support on-site quality compliance.
  • Schedule & Communication Management
    • Support the development and updating of project schedules and milestone tracking (Budget oversight, progress monitoring).
    • Serve as a liaison between field staff, suppliers, clients, and office teams to ensure clear and timely communication.
  • General Assistance
    • Assist with bid preparation, tender packages, estimations, and proposal submissions.
    • Provide general administrative support: scheduling meetings, drafting correspondence, maintaining filing systems, and supporting the Project Manager as needed.

Qualifications

  • Post-secondary diploma or degree in Civil Engineering, Construction Management, or related field (e.g., C.E.T., Bachelor of Engineering).
  • 1–3 years’ experience in construction, preferably within heavy civil infrastructure sectors.
  • Ability to read and interpret structural and civil engineering drawings with accuracy and attention to detail.
  • Proficiency in Microsoft Word, Excel, Outlook, and basic knowledge of MS Project (or similar scheduling software).
  • Strong organizational skills, attention to detail, and ability to prioritize tasks and multitask effectively.
  • Excellent verbal and written communication, with strong interpersonal skills.
  • Valid Ontario driver’s license and reliable transportation preferred.
